REGULATIONS

1. Definition of Awards

The term scholarship refers to awards funded by external sources, while financial aid refers to awards funded from AUCA's operating funds.


2. Compliance with University Policies

Award recipients must adhere to the Code of Student Rights, Responsibilities, and Conduct as well as the Academic Policies and Procedures. Any violation may result in the termination of the scholarship or financial aid award.


3. Outstanding Balances

Financial aid or scholarship awards will not be renewed if a student has any outstanding payment owed to the University. Students must ensure timely payment of all fees and expenses.
First-time applicants who are not currently enrolled at AUCA must not have any outstanding balance.


4. Limited Availability of Scholarships

If the number of qualified applicants exceeds the number of available scholarships, some applicants with less financial need may not receive an award.


5. Exchange Rate for Financial Calculations

The US dollar exchange rate used for financial calculations is determined by the Financial Aid Committee based on the official exchange rate of the National Bank of Kyrgyzstan.


6. Verification of Application Data

Scholarships are awarded based on the information provided by the applicant. The Financial Aid Office reserves the right to verify the accuracy of the submitted data. This includes:

  • Re-checking eligibility for the scholarship at any time.
  • Conducting random audit visits to the applicant’s home, parents’ home, or parents’ workplace.
  • Requesting additional supporting documents, if necessary.

Any falsification of information will result in the immediate cancellation of the scholarship.


7. Subjective Factors in Need-Based Evaluations

The following factors may influence the assessment of financial need:

  • Ownership of expensive vehicles or real estate.
  • Verified additional income sources for the student or their family.

8. Academic Leave Policy

  • Entire Academic Year: If a student with an internal scholarship takes academic leave for an entire academic year, the scholarship is withdrawn. The student must reapply for financial aid in the following academic year.
  • One Semester: If a student takes academic leave for one semester, half of the scholarship is retained, while the other half is withdrawn.

Merit-based awards are retained after academic leave.


General Conditions

  • Financial aid is provided only to full-time undergraduate and Preparatory Program students with Kyrgyz or CIS citizenship.
  • Undergraduate awards are available for up to eight semesters; Preparatory Program awards are available for up to two semesters.

Application Process

First-time applicants for scholarships or financial aid must:

  2. Submit the application and supporting documentation (see pages 9-10 of the form) to the Scholarship and Financial Aid Office by the deadline stated on the form.

Award Types

  • Undergraduate scholarships and financial aid are based on need or merit.
  • Preparatory Program students may apply only for need-based awards.

Students must fully understand the criteria for each type of award.


Evaluation and Confidentiality

  • The Scholarship and Financial Aid Office reviews applications, conducts interviews, and may audit applicants’ homes to ensure compliance with selection criteria.
  • All information provided is confidential and retained by the University.

The Scholarship and Financial Aid Committee:

  • Approves financial aid strategies.
  • Reviews fund distribution.
  • Conducts audits on 5-10% of awards.
  • Handles exceptional cases and appeals.

Annual Reassessment of Need

  • Existing scholarship recipients must submit an affidavit annually, confirming that their or their family’s financial situation has not significantly changed.
  • Significant financial changes (20% or more) must be reported to the Financial Aid Office, and students must reapply with updated documentation.

Internal Transfers (Undergraduate Students Only)

  • The first semester of enrollment at AUCA is considered the starting point for awards.
  • Financial aid may not be retained for transfers to competitive departments like Business Administration.
  • Students are advised to consult the SFA Office about their scholarship before transferring departments.

Financial Aid Appeals

Students have the right to appeal the Scholarship and Financial Aid Office's decisions.

Appeal Process:

  • Appeals will be reviewed by the Financial Aid Committee.
  • Decisions will be communicated within 10 working days via email.
  • Students may appeal only once per academic year.
